Privacy Policy

1. Who We Are

Completra (“Completra”, “we”, “us”) provides software that vocational and trade schools use to manage student inquiries, applications, enrollment, payments, attendance, and communications. Schools that subscribe to Completra are referred to here as “Schools”.

When you interact with a School's pages or forms, that School decides what information is collected and how it is used, and Completra processes that information on the School's behalf. This policy describes Completra's own practices; each School may also publish its own privacy policy.

2. Information We Collect

• Contact information you submit on an interest, contact, application, or appointment form — name, email address, mobile phone number, mailing address, and date of birth.
• Program and enrollment information — the programs you ask about, application answers, uploaded documents, class schedules, attendance, and grades.
• Payment information — processed by our payment provider (Stripe). Completra does not store full card numbers.
• Communications — emails, text messages, and calls exchanged with a School through Completra, including delivery and consent records.
• Technical information — IP address, browser user agent, and timestamps, which we record with each consent so it can be audited.

3. How We Use Information

We use personal information to respond to your inquiry, process and evaluate applications, deliver the messages you consented to receive, take payments, operate and secure the platform, and meet legal and recordkeeping obligations. We do not use your information for automated decision-making that produces legal effects without human review.

4. How We Share Information

We share personal information with the School you contacted, and with service providers acting on our instructions and only to the extent needed to deliver the service: Supabase (database and file storage), Vercel (hosting), Stripe (payments), Postmark (email delivery), SignalWire (SMS and voice), Anthropic (AI assistance features), and Cloudflare (video delivery).

We do not sell personal information, and we do not share it with third parties for their own marketing or advertising purposes. We may disclose information when required by law or to protect the rights, safety, or property of students, Schools, or Completra.

5. SMS / Text Messaging

Text messages are sent only after you affirmatively opt in by checking the consent box on a School's form. Consent is never pre-checked and is never a condition of enrollment or of any purchase.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties. Phone numbers and consent records are disclosed only to the messaging providers that transmit the messages on the School's behalf, and only for that purpose.

Message categories include application and enrollment updates, appointment reminders, class and attendance notices, billing reminders, and information about programs you asked about. Message frequency varies — up to approximately 10 messages per month. Message and data rates may apply.

Reply STOP to any message to opt out at any time; we stop sending immediately and record the opt-out. Reply HELP for help, or email support@completra.com. Carriers are not liable for delayed or undelivered messages.

6. Data Retention and Security

Information is retained for as long as the School maintains its account and its own recordkeeping requirements, and consent records are retained as long as needed to evidence the consent. Data is encrypted in transit and at rest, access is restricted to authorized personnel, and each School's data is isolated from every other School's at the database layer.

7. Your Choices and Rights

You may request a copy of the personal information we hold about you, request correction or deletion, or withdraw consent to be contacted. Because Schools control their own student records, we route these requests to the relevant School and assist in fulfilling them. Email privacy@completra.com or contact the School directly.

Education records are handled consistently with FERPA where applicable. You can opt out of email at any time using the unsubscribe link in any message, and out of text messages by replying STOP.

8. Children's Privacy

Completra is not directed to children under 13, and we do not knowingly collect their information. Applicants under 18 may be required by a School to have a parent or guardian co-sign enrollment documents.

9. Changes to This Policy

We may update this policy from time to time. Material changes will be announced on this page with a new effective date, and where required, by email or in-app notice before taking effect.
